Document encoding is the technique used for creating a database index
for a document population. The data describing each document is
captured and stored in a sortable, searchable database to aid in the
retrieval and management of large document populations.
Historically, document encoding has been performed by hand, by trained
associates, paralegals and temps. Some firms outsource this
consuming data entry task to domestic or overseas providers.

Valora's flagship service uses a combination of patent-pending
technologies and best-practices manual processes to deliver outstanding
coding results in a fraction of the traditional time. Valora's
efficiency is typically 3 - 4 times that of manual-only encoding, which
means rapid turnaround time without any loss of data quality or
consistency. In fact, with Valora's 100% record-by-record QC
process, customers are ensured of the highest possible accuracy and
consistency.

A Condensed View of the
Valora Encoding Process
- Documents are received and loaded onto Valora's secure servers
- An initial "run" of the encoding engines produces a preliminary
report
- Valora reviews the report with the customer (typically within two
days of receiving files) and makes adjustments according to their
specifications
- The data undergo multiple iterations of software analysis, Quality
Control, review, and auditing
- The data are converted to an appropriate format for the customer's
database and shipped via secure e-mail or physical media
Encoded records can be produced in any number of industry formats,
including Summation, Concordance, and comma- or tab-delimited
files.

To prepare documents for encoding, have paper documents scanned and
electronic files rendered into Group IV TIFF images. We'll take
care of the rest.
